This is an exciting opportunity to drive real-world outcomes for people who are at risk of or experiencing homelessness, and the community that passionately supports them.

Q Shelter is currently recruiting for a Business and Executive Support Coordinator to join our passionate, high-performing team. Reporting to the Chief Operating Officer, this role will be based at our Brisbane office in Spring Hill, on the CBD fringe.

We are seeking an organised, reliable and people-focused Business and Executive Support Coordinator to play a key role in keeping our organisation running smoothly.

This is a hands-on, varied role, suited to someone who enjoys being the central point of coordination in a purpose-driven organisation.

Key Responsibilities

Office Administration and Coordination

  • Coordinate daily office administration and ensure a professional, welcoming workplace
  • Manage reception duties, incoming calls and emails
  • Order office supplies and coordinate maintenance and contractors
  • Organise meetings, room bookings, catering and diary management
  • Assist with travel and accommodation bookings
  • Draft, edit and format reports, agendas, minutes and presentations
  • Support internal communication, including basic social media content.

Executive Support

  • Manage calendars, meetings and travel for the Leadership Team
  • Prepare meeting materials, take notes and track actions
  • Provide general administrative and communication support as required.

Shared Services Support

  • Support workplace health and safety compliance and reporting
  • Assist with HR administration, including onboarding, induction and training records
  • Provide financial administration support, including expense processing
  • Coordinate basic IT support, equipment setup and liaison with external IT providers.

General Support

  • Assist with events, surveys, professional development activities and projects
  • Provide administrative support for grants, reporting and one-off initiatives
  • Support organisational activities and stakeholder engagement as required.

Who We are Looking For

You are organised, reliable and thrive in a collaborative environment. You enjoy supporting others, improving processes, and being the go-to person who keeps things running smoothly. Nothing is too big or too small.

You will bring:

  • Demonstrated experience in office administration, business support and executive support
  • Strong organisational skills with the ability to manage competing priorities
  • Excellent communication and interpersonal skills
  • Confidence using Microsoft Office and general IT systems
  • Experience with HR and financial administration (desirable)
  • Knowledge of workplace health and safety in an office setting (desirable)
  • Experience in the not-for-profit or community sector (desirable)

Requirements

  • Valid Australian working rights
  • Current Queensland Driver Licence
